We are looking for a
Finance and Admin Officer
Overall role: The Finance and Admin Officer will organize and coordinate the office operations, procedures, and resources to facilitate organizational effectiveness and efficiency.

Report to: Finance and Admin Coordinator

Starting Date: December 2021

Contract: Full Time, 12 months (including 3 month probation) with the opportunity to extend

Responsibilities and Duties
Finance
  • Ensure transactions are accurately recorded and entered into the accounting system, Xero.
  • Arrange payment of suppliers in a timely manner (e.g. rent, electricity, etc).
  • Prepare cash count on monthly basis and handle office petty cash box.
  • Arrange quotations for procurement as required.
  • Support and check cash advance requests and payment of all expenses with supporting documents from program staff to ensure prompt timing and correct procedures are followed.
  • Assist program staff to purchase all kind of material/equipment in line with financial policy.
  • Prepare NSSF and taxes.
  • Prepare staff payroll.
  • Prepare of EnergyLab Financial documents and reports.
  • Keep staff updated on organisational forms and formats for usage.
  • Filling of all EnergyLab related documents.
  • Provide technical finance support to colleagues as required.
Admin and Office Management
  • Responsibilities for general administration.
  • Maintain a register and file all official documents (e.g. MOUs, rental contracts, staff contracts, etc).
  • Maintain a stock of office supplies.
  • Arrange regular purchase office supplies and stationery, as well as IT equipment.
  • Asset and equipment management – ensure that new purchases and equipment are recorded onto the assets and equipment lists in a timely manner. Update assets and equipment list.
  • Manage visa and work permits for foreign employees.
  • Distribute documents to partners/donors.
Other
  • Other tasks as requested by the Country Director and Country Manager.
  • Assist and support program team activities, as appropriate.
  • Engage in team meetings and contribute to the success of the programs and organisation.
    Qualifications, Experience and Skills:
    • Bachelor degree in Accounting, Finance or Equivalent.
    • Knowledge of admin, finance and logistic.
    • Fluent English and Khmer language.
    • Good Computer skills (Ms word, Excel and Xero) is a required.
    • Excellent organizational and communication skills.
    • Honest and trustworthy, hard-working and willing to learn.
